When a template is opened from any Document Management System, it opens a Word (.docx /.dotx) or PowerPoint (.pptx / .potx) file.
If this file has the correct document properties attached (see below), Templafy will detect the document when opened, and prompt the user to selected a correct template from Templafy. Eg. a Letter, Report or something third. The selected template will then be merged with data from the DMS (if any).
The end result is a on-brand document with information from the Document Management System, stored in that system.
This integration is generic as in it works out of the box with most DMS systems. Currently we live integrations to:
- Microsoft Dynamics
Content Controls that are supported:
- Rich Text
- Plain Text
- Date picker
Templafy will merge any Content Control that share the same "Title" from the Document Management System to the template in templafy (*.templafy.com)
Templafy will also merge any Bookmark from the Document Management System to the template in templafy.
No fields are merged from Document Management Systems into PowerPoint presentations.
Shared (Document Properties)
The document in the DMS needs up to three different DocumentProperties
- "TemplafyExternalSystem": SalesForce | MicrosoftCrm | WorkZone | Tieto | F2 | MFiles | Pivotal
- "TemplafyNavigationPath": String
- "TemplafyAreasToUpdate": All | Header | Footer | Body | HeaderFooter
"TemplafyExternalSystem" - Specify what DMS the file will come from. Will make Templafy Prompt for the according template to be used.
"TemplafyNavigationPath" - Path to the document to be used in Templafy to migrate data over to.
The path is the part of of the URL when creating documents in the Templafy WebApp thats after *.templafy.com.
Eg. will "https://templafy.templafy.com/documents/foldername/Name-of-Word-file" become "documents/foldername/Name-of-Word-file"
Examples of paths:
"TemplafyAreasToUpdate" - This DocumentProperty is optional. It defines what parts of the document to update. Not adding this value will make Templafy read it as set to "All". The different values are:
