Getting started with Onboarding
Templafy starts an onboarding flow for your email signature the first time that Outlook is opened after Templafy has been installed. Through this, you can set up your user profile and see a sample of your email signatures.
Follow the instructions and fill in the required fields, then choose "Finish" when the information is correct.
Storing the email signatures
It may take a few seconds for Templafy to store the signatures. The message below will appear when the email signature is ready to use:

Default and reply email signatures
When you create a new email, your default signature is added automatically. You can replace the default signature in your email with a reply email signature by choosing from the "Signature" drop-down list in Outlook. The "Signature" button can be found on the ribbon in the Message tab.
Edit user profile information
The "Edit Email Signature" button opens a dialogue box where you can edit your personal information.
The information in your email signatures can be edited by clicking on the "Edit Email Signatures" button, which can be found in the Home tab in the ribbon. If you are composing a new email, you can find it in the Message tab.
Keeping signatures up-to-date
Changes in the design of email signatures can be initiated by administrators in the admin interface. The information displayed in the signature can also be edited locally on the PC.
Update of signatures on the PC can happen when Outlook is started or restarted, when the Edit Email Signature flow is completed in Outlook, or every night after midnight.
Templafy will show this message when the email signatures are updated and ready to use:
These criteria can trigger a notification to the user showing: "your email signatures were updated".
Admin initiated updates include:
- Email Signatures changed.
- Profile Data Source changed.
- User Profile Form changed.
- Email Campaign changed.
- Disclaimer changed.
User initiated updates include:
- User Profiles changed (in Templafy).
- User has chosen a different signature in Outlook than the default set by Templafy.
