How to switch between your email signatures

This article will explain how to switch your email signatures when you have multiple user profiles. Sections in this article:

This end-user guide is for Outlook add-in on PC, Outlook Online web add-in, Outlook on Mac (Office 365 Outlook version 16.56 or later is required on Mac) and New Outlook.

Steps explained can apply to New Email, Reply and Reply All, but the example uses New Email

Click New Email
In Templafy group the ribbon, choose the desired user profile
Optionally, check Remember
Checking the Remember checkbox will allow to remember the preferred user profile between Email and between Outlook sessions (closing/reopening Outlook)

This functionality is only available following the below conditions:
- The setting was enabled in the Admin Center
- The user has more than one user profile
- The VSTO add-in version is 8.3.0 or above

Steps explained can apply to New message, Reply and Reply All, but the example uses New message

Open Outlook Online in your browser, Outlook for Mac, or New Outlook
Click New message
Open Templafy task pane
- Click Email Signatures in the ellipsis menu below the email body in Outlook Online
- Click Email Signatures in the ellipsis menu above the email body in Outlook for Mac and New Outlook
Select a different signature from the task pane
1. Switch between user profiles by clicking on the users
2. Switch between New and Reply & Forward by clicking on the tabs
