How to manage Engage from the Admin Center?

Engage is a module that allows secure sharing of documents with recipients. This article will explain how to manage Engage from the Admin Center.

How to set the sharing permissions?

 
  • Without setting this in the Admin Center, end-users can choose their preferred sharing permission in document settings upon sharing. 

 

When end-users share a document through Engage, you, as an Admin, have the option to globally control the minimum access sharing permissions for everyone. 

To manage the sharing permission from an Admin perspective, please follow the steps below: 

  1. Navigate to Engage section
  2. Click on Edit
  3. Select from dropdown Minimum access permission
  4. Select from the dropdown Expiry date (default)
  5. Click Save

  • Once set, the Minimum access permission will dictate the security levels available to the end-user. The end-user will only be able to select the security level set by the Admin or stronger security levels. 
    Example: If I set the minimum access permission to specific people, the will be the only option for end-users as it is the strongest security level. If I set the minimum access permission to anyone with a password, end-users will be able to choose between anyone with a password, anyone in the organization, and specific people as they are considered stronger security levels, however, Anyone will not be an option as it is considered a weaker security level. 
  • Once set, the expiry date (default) will be the default on all documents shared by end-users via Engage. End-users will still be able to choose the expiration date of their choice.
    Example: If I set the expiry date to 60 days, 60 days will be the default expiration date, but end-users will still be able to choose a shorter or longer expiration period. 

 

What are the different security levels?

The four different security levels are listed below with the least secure option first. Essentially that means, for each level, you narrow down the audience of who will be able to access the document.

  • Anyone:  the document will be available to anyone with the link (weakest security level)
  • Anyone with a password: the document will be available to anyone with the link and the password
  • Anyone in the organization: the document will be only available to internal users belonging to the organization's Templafy tenant
  • Specific people: the document will be only available to specific users with email and password verifications (strongest security level)
