How embedded custom fonts behave with Templafy

This article explains how embedded custom fonts behave with Templafy.

  Prerequisites

  • Library module is enabled.
  • Templafy Desktop and Office VSTO add-in installed.

Custom fonts

When a custom font is installed across all machines within your organization, it becomes accessible to all employees. However, when sharing your presentation with external parties, it is unlikely that they will have the custom font installed. To ensure that recipients outside your organization can view the presentation as intended, you have the option to embed the font within the presentation.

  Important

To confirm whether a font can be embedded, open Windows Explorer and navigate to C:\Windows\Fonts. By selecting a font, you can check the embeddability property, which should indicate 'Editable' or 'Installable' for the font to embed correctly.

Custom font installed, not embedded

The custom font is shown in the presentation.
When you insert a slide from the Templafy Library in the presentation, then the text is shown in this custom font.

Custom font not embedded and not installed

The custom font cannot be displayed, another font ('fall back font') is used to display the text. 
When you insert a slide from the Templafy Library in the presentation, then the text is shown in this fall back font.

Custom font embedded and installed

The custom font is shown in the presentation.
When you insert a slide from the Templafy Library in the presentation, then the text is shown in this custom font.

Custom font embedded, not installed

To embed a font, the font must be 'Editable' or 'Installable'. Then the custom font is shown in the presentation.
When you insert a slide from the Templafy Library in the presentation, then the text is shown in this custom font.

Non embeddable font embedded, not installed

When a custom font is embedded that is not 'Editable' or 'Installable', the presentation is opened in 'Read-Only' mode.

  Note

You don't get a warning when you create a presentation that contains a non-embeddable embedded custom font from Templafy Library.
When you save (download) the presentation and open it, Microsoft PowerPoint shows the following warning:

When you insert a slide from the Templafy Library in the presentation, then you get the following error:

Embedding fonts for PowerPoint on Mac

PowerPoint for Mac does not support font embedding. If you open a presentation with embedded fonts created on Windows, they may not render correctly unless the fonts are installed on your Mac.

How do I know if there are embedded fonts in my presentation?

To check if presentations/slides contain embedded fonts, follow these steps:

  1. Open your presentation in PowerPoint.
  2. Go to File > Options.
  3. In the PowerPoint Options dialog, select Save from the left-hand menu.
  4. Scroll down to the section called Preserve fidelity when sharing this presentation.
  5. If the checkbox "Embed fonts in the file" is checked, then fonts are embedded.
    You’ll also see options like:
    • Embed only the characters used in the presentation (smaller file size).
    • Embed all characters (best for editing by others).

  Tip

Use Embed only the characters used in the presentation (smaller file size) when:

  • You’re sharing the presentation for viewing only (e.g., sending to clients or uploading to a portal).
  • You want to minimize file size.
  • You’re confident no further editing will be needed.

Use Embed all characters (best for editing by others) when:

  • You’re sharing the presentation with colleagues or collaborators who may need to edit it.
  • You want to ensure font consistency across different devices and systems.
  • You’re using custom or non-standard fonts that others may not have installed.
