How to get started with Templafy Agent

Use this article to make Templafy Agent available to PowerPoint users. It covers the practical steps admins normally complete: confirm prerequisites, get the manifest, distribute it through Microsoft 365, and check that users can start working with the agent.

  Prerequisites

  • Admin or owner access is required in the Templafy tenant.
  • Microsoft 365 admin access is required to distribute Office add-ins centrally.
  • Target users must have access to PowerPoint and the Templafy tenant.
  • The Templafy Agent manifest must be available for the tenant.
  • Approved presentation layouts should be available if users will create new slides.
  • Relevant Library content and internal knowledge should be prepared if users should create content from approved company material.

Use case

Use this article when you need to give PowerPoint users access to Templafy Agent through the Microsoft 365 Admin Portal.

Distributing Templafy Agent centrally lets users start creating and improving presentation content from inside PowerPoint without installing anything manually. This helps teams save time on slide creation, reuse approved material, and keep presentation output aligned with brand and company guidance.

Step 1: Confirm tenant and user readiness

Confirm that the intended users can access both PowerPoint and Templafy.

  • Confirm the target user group.
  • Confirm that users can access PowerPoint and Templafy.
  • Confirm that the right admins can manage layouts, Library content, tone of voice, and knowledge sources.

For the broader Document Agent implementation flow, see Implementing Document Agents.

Step 2: Prepare the agent configuration

Prepare the content and guidance that Templafy Agent should use before users start working with it. At minimum, review presentation layouts, tone of voice, internal knowledge, and relevant Library content.

See How to customize Templafy Agent for the recommended customization steps.

What Templafy Agent uses from Admin Center

Templafy Agent uses approved configuration and content from Templafy so users can create better slides without leaving PowerPoint. This helps users move faster while still working from brand-approved, permissioned, and reusable company material.

  • Presentation layouts: used when Templafy Agent creates new slides. Layout names, descriptions, placeholders, and layout guidance help the agent choose a suitable structure and place content correctly.
  • Library slides: used when an existing approved slide is a better fit than generating a new one. This helps users reuse validated content such as product slides, proposal slides, case studies, and standard company slides.
  • Slide elements: used when users need reusable components such as icons, diagrams, timelines, branded graphics, or groups of shapes. This helps keep detailed slide edits consistent with approved design patterns.
  • Images: used when users ask Templafy Agent to add or replace visuals. Clear names, descriptions, tags, and image metadata help the agent find suitable approved images.
  • Tone of voice: used when Templafy Agent writes, rewrites, reviews, summarizes, or translates slide content. Central tone guidance helps generated text sound like the organization.
  • Knowledge sources: used when users ask for company-specific or fact-based content. Knowledge configured through Universal Agent can include approved product messaging, positioning, compliance language, industry guidance, or other internal source material.
  • User permissions: used to determine which Library content and sources are available to each user. This helps users work from content they are allowed to access.

Step 3: Download the manifest

Download the Templafy Agent manifest provided for your tenant. If the manifest is not available in the expected location, contact Templafy before continuing.

For general Web Add-in download guidance, see Install Templafy and Templafy Web Add-ins Overview.

Step 4: Distribute the manifest

Distribute the manifest through the Microsoft 365 Admin Portal to the users or groups who should use Templafy Agent.

  1. Go to the Microsoft 365 Admin Portal.
  2. Open Settings and select Integrated apps.
  3. Upload the custom Office add-in manifest.
  4. Select the users or groups that should receive Templafy Agent.
  5. Finish the deployment and allow time for Microsoft 365 propagation.

For detailed distribution steps, see How to Distribute Templafy Web Add-ins.

  Important

Microsoft 365 centralized deployment can take time to reach all targeted users. Plan for propagation time when communicating availability to users.

Step 5: Confirm that users can work with the agent

After the deployment has reached users, open PowerPoint with a user account that is included in the deployment and confirm that Templafy Agent can complete the workflows that matter to your organization.

  • Create a new slide using an approved layout.
  • Improve or rewrite an existing slide.
  • Use uploaded files or images as context.
  • Insert approved Library content where relevant.
  • Confirm that tone of voice and internal knowledge produce useful results.

Step 6: Tell users where to find it

Let users know when Templafy Agent is available and that they can open it from PowerPoint. Include a few examples of valuable starting points, such as creating a brand-approved slide from a prompt, improving an existing slide, rewriting text, translating content, or generating a slide from an image.
