Create Mail Flow Rule for Email Signature Server

This article describes how to create a mail flow rule to identify the e-mails that will be redirected through the Templafy Email Signature Server in the Exchange Online Admin Center.

  Prerequisites

  • Global Admin rights in Exchange Online Admin Center.
  • Templafy Email Signature Server.

Create the Mail Flow Rule

  • Navigate to https://admin.exchange.microsoft.com/.
  • Go to Mail flow, then Rules.
  • Click Add a rule, then Create a new rule.
    1. Name: templafy email signatures.
    2. Under the Apply this rule if section:

      • Click the Select one dropdown and select: The sender.
      • Click the next Select one dropdown and select: is external/internal.
        • Select sender location will show Inside the organization in the dropdown.
        • Click Save.
      • Click the + button to add another condition.
      • Select The sender then click the next Select one dropdown and choose: domain is.

        • Specify each domain that is configured in your Templafy tenant.

        • Click Save.

      • (Optional) Group-based user targeting.

          • Add the condition, The sender followed by is a member of this group and use a Distribution Group or Mail Enabled Security Group.

    3. Under the Do the following section.

      • Click the Select one dropdown and select: Redirect the message to.
      • Click the next Select one and select: the following connector.
        • Select the outbound connector for the Email Signature Server.
        • Click Save

      • Click the + button to add another condition.
      • Select Modify the message properties followed by set a message header.
        • Click the first Enter text and set the header name to Templafy-EmailSignatureServer-Secret.
        • Click Save.
        • Click the second Enter text and set the value to the GUID provided by your Templafy Solutions Engineer.
        • Click Save.
    4. Under the Except if section.
      • Click the Select one dropdown and choose: The message headers....
      • Click the next Select one and choose: includes any of these words/matches these text patterns.
        • Click the first Enter text and set the header name to Templafy-EmailSignatureServer-Processed.
        • Click Save.
        • Click the second Enter text and set the value to true.
        • Click Save.
      • Click the + button to add another condition.
      • Select The message headers... followed by includes any of these words/matches these text patterns.
        • Click the first Enter text and set the header name to x-processedbytemplafy OR x-unsupportedformatbytemplafy (see below).
        • Click Save.
        • Click the second Enter text and set the value to true.
        • Click Save.

  Note

  • Use the header x-processedbytemplafy if you prefer emails already processed by a Templafy Add-in (VSTO or Web) to skip the Email Signature Server.
  • Use the header x-unsupportedformatbytemplafy if you prefer all emails to pass through the server as a fail-safe (in case signatures inserted by an Add-in were removed by end-users).
      • Click the + button to add another condition.
      • Click the Select one dropdown and select: The message properties.
      • Click the next Select one and select: includes the message type.
        • For the select message type choose Permission controlled in the dropdown.
        • Click Save.
      • Click the + button to add another condition.
      • Click the Select one dropdown and select: The message.
      • Click the next Select one and select: size is greater than or equal to
        • Specify 153600(KB).
        • Click Save.
  • Click Next.
    • Enable the checkbox for Stop processing more rules.

  Note

The rest of the mail flow rules will still be applied once an email is returned back to Exchange after passing through the Email Signature Server.

    • Click Next.
  • Click Finish followed by Done once the rule saves.

Activate the Mail Flow Rule

  • Click on the newly created rule and select Edit rule settings.
  • Set the Priority to 0, click Save and Done once the rule saves.
  • Click back into the rule and select the toggle to enable the rule. Do not close the pane until the rule finishes saving.
