How to insert answers from the response form in a template

This article explains how to insert answers from the response form through smart fields so it can populate the dynamic document. 

  Prerequisites

  • Library and at least one Dynamics modules enabled.
  • Templafy Desktop and Office VSTO add-in installed on the PC.
  • Space owner access to the Templafy tenant.
  • The response form contains at least one form field.

  Important

Please note that the Template tab is only available in Word and PowerPoint. Inserting information into a Spreadsheet for Excel can be done through the Header Footer in the Advanced tab.

When building a smart template, use the Form responses smart field to insert answers from the response form into the smart template. This smart field contains all the information that can be retrieved based on the form response set up on the template. Through this smart field, text, numbers, dates, and images can be inserted. Follow these steps to create a Form responses smart field: 

  1. In Template Designer, navigate to the Template tab.
  2. Select the location where the smart field should be inserted.

    Type and select a placeholder text.
  3. Click Add smart field.
    This step doesn't apply if you are adding the very first smart field in the template. 
  4. Click Form responses.
    The data originating from the response form will be displayed. 
  5. Select the desired data that should be added to the smart field.

  6. Optionally, edit the Display name.
    The display name will be displayed in the Template tab once the smart field has been added.

  7. Optionally, perform additional actions on the smart fields: 
  8. Click Add to template.
    The smart field will be injected into the template and will be displayed in the Template tab:

      Note

    • Once the smart field has been created, it can be edited, or deleted.
    • Achieving complex text bindings related to the response form can be done by editing the binding of the Form responses smart field, or by creating a Custom text binding or Custom image binding smart field.

     

      Important

    • The Form responses smart field will only allow injecting simple text, numbers, dates, or images. If a text element or a slide should be inserted based on the response form information, please use the Text element smart field in Word or the Slide(s) smart field in PowerPoint.
    • Adaptive sections can also be created through the Form responses smart field if the Data connector form field is used and contains arrays and repeating items.
