How to manage Space owner(s) and members

In this article, we will explain how to manage Space owners and members in the Templafy admin.

  Prerequisites

  • Owner access to the Templafy tenant.
  • Space owner of the specific Space.

What is a Space owner?

Space owners manage all admins and other owners in the Space where they are Space owners. They ensure that the right people have access to manage and publish content in the space. Space owners can also add and remove members within their space. 

The same applies to Templafy tenant owners with the addition that they do not need to be assigned to a specific space in order to assign other space owners or members.

  Note

  • A Templafy tenant owner can assign owners and members to all spaces.
  • A Space owner can only assign owner and members to spaces where they are a space owner.
  • A Templafy user can be a Space owner of multiple Spaces.
  • A Space member can access content of that Space.

What is a Space member?

Space members are assigned to a Space by either a Templafy tenant owner or a Space owner. A Space member can access the Libraries of a Space but cannot make any changes to the memberships of that space. A user can have multiple roles at once, e.g. a user can be a Space member of multiple spaces.

  Note

  • A user can be a member and/ or owner of multiple Spaces.
  • A Space member can access content on a Space.

How to manage Space owners and members?

  1. Navigate to the Spaces section in the Admin Center
  2. Select the Space in which you wish to manage owners or members
  3. Click on Edit next to the Members or Space owners
  4. Select the users you would like to either add or Remove from the Space owner lists.
  5. Click on Add to selected or Remove from selected depending on either adding or removing owners.
  6. Click Confirm

  Note

Adding a tenant user as a Space owner will make the tenant user automatically a member of the Space.

Who can become a space owner?

Space ownership can be given to all 3 existing user access types in Templafy: tenant owner, tenant admin, and tenant user. The main difference will rely on what actions they can perform outside of the Space. 

Tenant owner as a Space owner

A tenant owner will have access to all Admin areas, including the Spaces tab in order to create and manage all Spaces, as well as the Space(s) he is owning.

Tenant admin as a Space owner

A tenant admin will have access to all Admin areas, including the Spaces tab, but will only be able to make changes to a Space that he is owning.

  Important

A tenant admin will not have access to the Libraries tab, until they are granted Space ownership.

Tenant user as a Space owner

A tenant user will be able to access the Admin Center but will only have access to the Space(s) he is owning (all other admin areas are excluded).

  Note

  • A tenant owner can assign space owners to any created Space.
  • A space owner can assign space owners only to his assigned Spaces.
  • Once a new Space owner has been added it may take up to 5 minutes to take effect for all users.
  • Space owners can also be assigned in the Users/Partners section of the Admin Center. Any changes made in either of these places will be reflected in the other.
