Document Agent slide layout collections (Private Preview)

This article explains when and how to use multiple slide collections with Templafy's Document Agents.

What are slide layout collections?

A slide layout collection is a set of reusable slides that a Document Agent can use when generating a presentation. 

Multiple slide collections allow administrators to support different brands, presentation types, or languages without combining all slides into one collection.

How do slide collections work? 

A Document Agent can only use one slide collection at a time.

When multiple slide collections are assigned to the Universal Document Agent, one can be designated as the default. The default theme is preselected when users start creating a presentation, helping guide them toward the organization's preferred choice. Users can still select a different available theme before the outline is generated.

The agent then creates the outline and presentation using slides from the selected collection only. It does not combine slides from multiple collections in the same generation.

When to use multiple slide collections 

Support multiple brands

• Use multiple slide collections when the same Universal Document Agent needs to support more than one brand.
• Each brand can have its own collection containing the correct visual identity, slide styles, colors, typography, and reusable layouts.

Support specialized presentation types

• Use a dedicated slide collection when a specific presentation type requires layouts that differ from the general-purpose collection.
• This is especially useful for Custom Document Agent use cases where the output needs to follow a specific structure or include specialized slides such as pricing tables, implementation plans, project milestones, case studies, KPI summaries, or recommendation slides.

Support different languages or reading directions

• Use separate slide collections when an agent or document type needs to support languages that require different layouts.
• This is particularly relevant when supporting both left-to-right and right-to-left languages. For example, one collection can contain layouts designed for English, Danish, or German, while another can contain layouts designed for Arabic or Hebrew.

How to manage slide layout collections

Add a slide collection

1. Navigate to AI Agents section in the Admin center
2. Locate Slide layouts tab
3. Click + Add new collection
4. Specify collection name and upload the presentation

Edit slide collection

Select the Edit icon to open the slide collection and manage the individual slides.

Here you can:

• Review the processed slides.
• Edit slide names and placeholder descriptions.
• Define when each slide should be used (use case field) to improve the guidance the Document Agent uses when selecting layouts.

Well-defined slide names and usage descriptions help the agent choose the most appropriate layout during presentation generation.

Rename slide collection

Select the Rename icon to give the collection a more descriptive name.

Choose names that clearly communicate the purpose of the collection, for example:

• Brand A, Brand B
• Proposal layouts
• Executive briefing
• Arabic (RTL)
• Sales presentations

Clear names help users select the correct theme before generating a presentation.

More actions

Select the More actions menu to manage the collection.

Depending on your permissions, you can:

• Download the original presentation.
• Set as default to make the collection the default theme for the Universal Document Agent.
• Delete the collection if it is no longer needed.

Best practices

• Create a separate collection when the slides serve a different brand, document type, language direction, or presentation structure.
• Keep each collection focused on one clear purpose.
• Use clear collection names so users can easily understand which option to select.
• Avoid creating several collections that only contain minor visual differences.
• Remove outdated, duplicate, or one-off slides before processing the collection.
• Include enough slides to support a complete presentation, such as a cover, divider, content slides, and closing slide.
• Make sure the collection includes any specialized slides needed for its use case, such as charts, tables, timelines, or pricing slides.
