Use slides from your library in Custom Document Agents

This article explains how admins can configure a Custom Document Agent to reuse approved slides from their organization’s Templafy slide library.

Within an agent’s outline, you can combine:

  • Slides generated by AI
  • Slides selected dynamically from specified library folders
  • Specific library slides that should always be included

This allows organizations to combine tailored, AI-generated content with existing, approved presentation content in the same presentation.

How slides from library work

When configuring a section in a Custom Document Agent, you can either let AI decide the content or build the section using individual content blocks.

Content blocks give you more control over how the slides in a section are created. Three content block types are available:

Generate slides

Use Generate slides when the content should be created by AI based on your specifications (instructions) and the context provided by the user.

For example, you could instruct the agent to:

  • Summarize the client’s key challenges
  • Create an executive summary
  • Generate a section divider
  • Explain the proposed approach

The content may differ between presentations because it is generated for the specific request.

Pin relevant folders

Use Pin relevant folders when the agent should search selected folders in the company slide library and choose the most relevant existing slides.

You can select the folders the agent can search, provides instructions explaining what it should look for, and can define how many slides it should return.

For example, you could:

  • Pin a folder containing case studies from different industries.
  • Instruct the agent to select case studies relevant to the client’s industry.
  • Configure the agent to return up to three slides.

When an employee creates a presentation and identifies the client as a pharmaceutical company, the agent searches the pinned folder and selects the most relevant pharmaceutical case studies.

The selected slides can therefore vary depending on the context provided by the user.

Insert specific slides

Use Insert specific slides when the same approved slides should always appear in the presentation.

You can select one or more individual slides from the company slide library. These slides are included each time the agent creates the relevant section.

This is suitable for content that does not depend on the presentation context, such as:

  • Company overview slides
  • About us slides
  • Standard methodology slides
  • Legal or compliance information
  • Contact or closing slides

For example, a company overview slide can be included in every proposal regardless of whether the proposal is created for a pharmaceutical, financial services, or logistics client.

Combine different content types

A Custom Document Agent can use all three content block types.

They can be used:

  • In different sections of the outline
  • Multiple times within the same section
  • In any order required by the presentation structure

For example, a proposal section could contain:

  • An AI-generated divider slide
  • Up to three relevant case studies selected from a pinned library folder
  • A specific company credentials slide that is always included

How to configure an Agent to use slides from library

  1. Navigate to AI Agents tab in the Admin center
  2. Open the Custom Document Agent you want to configure.
  3. Navigate to the presentation outline
  4. Choose Create a fixed outline
  5. Add section
  6. Select Build section with content blocks.
  7.  Under Add a content block, choose one of the following:
    • Generate slides 
    • Pin relevant folders 
    • Insert specific slides

How to configure pin relevant folders

Add selection instructions

Write clear slide-selection instructions. Explain what type of slides the agent should find, which user-provided details it should consider, what makes a slide relevant and any other selection criteria it should prioritize. 

  Tip

Example: Select the most relevant customer case study slides based on the client’s industry. Prioritize examples with challenges and outcomes similar to those described by the user.

Choose where the agent should search

Under Folders to search, choose:

  • All folders to allow the agent to search all accessible library folders
  • Specific folders to restrict the search to selected folders

  Important

  • Admins can only configure content they can access. When setting up a Custom Document Agent, an admin can only pin folders and select individual slides from spaces and folders available to them.
  • End users only receive content they can access. When the agent creates a presentation, it searches for and inserts slides only from library locations available to the user running the agent.

Set the slide amount

Under Amount, choose:

  • Auto to let the agent determine an appropriate number of slides
  • Amount to define the expected number or range

  Tip

Use a defined amount when the presentation structure or expected length is important.

Other valid examples are: Exactly 1, Up to 3, Between 3 and 5, minimum 2

How to configure Insert specific slides

  1. Select Insert specific slides 
  2. Browse the company slide library.
  3. Open the relevant folder.
  4. Select one or more slides.
  5. Review the slides listed under Selected slides.
  6. Select Done.

Best practices

  1. Use fixed slides for content that should not vary. Choose Insert specific slides for approved content that should appear consistently, such as company information, mandatory disclaimers, or standard closing slides.
  2. Use folder search when relevance depends on context. Choose Pin relevant folders when the correct slide depends on information such as industry, region, product, service line, client neet or project type
  3. Keep the folders focused - A focused folder makes it easier for the agent to identify the right content.
  4. Write explicit selection instructions - State what information the agent should use and how it should determine relevance. Instead of writing "find a case study" use "Select up to three case studies relevant to the client’s industry and stated business challenge. Prioritize examples that include measurable outcomes.
  5. Use slide amounts intentionally
  6. Combine content blocks deliberately - Arrange content blocks in the order in which the slides should appear.
