Image Roles (Private Preview)

This article explains how to implement Image Roles. Once Image Roles have been configured for both Library images and Slide Layouts, Document Agents can more accurately match images to placeholders, resulting in presentations with more relevant, consistent, and higher-quality imagery.

  Prerequisites

  • Library and Universal Document Agent or Custom Document Agent modules enabled.
  • Admin/owner access to the Templafy tenant.

Overview

Image Roles help improve the quality and consistency of images selected by AI when generating presentations with Document Agents.

Image Roles act as semantic tags that describe the purpose of an image, such as Logo, Photo, Headshot, Icon, or Background. These same roles are then assigned to image placeholders within Slide Layouts, allowing the AI to better match the right images to the right locations when generating presentations.

For example, if an image placeholder on a team slide is assigned the Headshot role, the agent will prioritize images tagged as Headshot from your Templafy Library instead of selecting a generic image.

Image Roles are managed by administrators and are not visible to end users. End users simply benefit from higher-quality presentations generated by Document Agents.

Where to configure Image Roles

Image Roles are configured in two locations:

  • Templafy Library – to assign Image Roles to images.
  • AI Agents > Slide Layouts – to assign Image Roles to image placeholders within slide layouts.

These two configurations work together to help the AI select the most appropriate image when generating presentations.

Assign Image Roles to Library images

When Image Roles are enabled, Templafy automatically analyzes images in your Library and assigns one of the following roles where possible:

  • Logo
  • Photo
  • Headshot
  • Icon
  • Background

The automatically assigned role can be kept, changed, or supplemented with one or more additional Image Roles.

To assign or edit Image Roles:

  1. Open the Image Library.
  2. Select an image.
  3. Review the automatically assigned Image Role.
  4. If needed, replace the suggested role or add one or more additional Image Roles.
  5. Save your changes.

The configured Image Roles become available when configuring image placeholders in Slide Layouts.

  Note

Automatic role assignment is intended to save time, but administrators should review the assigned Image Roles to ensure they accurately describe how each image should be used.

 

Assign Image Roles to Slide Layouts

After uploading slide layouts to a Document Agent, Image Roles can be assigned to image placeholders.

When selecting an image placeholder or image shape, Templafy automatically suggests the most appropriate Image Role. Administrators can accept the suggestion, replace it, or assign multiple Image Roles to the same placeholder if appropriate.

To configure Image Roles for a placeholder:

  1. Open AI Agents.
  2. Navigate to Slide Layouts.
  3. Open the slide containing the image placeholder.
  4. Select the image placeholder or image shape.
  5. Review the automatically suggested Image Role.
  6. Modify the selection or add additional Image Roles as needed.
  7. Save the slide layout.

During presentation generation, the Document Agent uses the configured Image Roles to match image placeholders with appropriately tagged images from the Templafy Library.

Example

Suppose your Templafy Library contains employee headshots.

If those images are tagged with the Headshot Image Role, and the corresponding placeholders on your "Meet the Team" slide are also configured with the Headshot role, the Document Agent will automatically select employee headshots for those placeholders when generating a presentation.

Without Image Roles, the AI has less context about which images belong in each placeholder and may select less suitable images.

Best practices

To achieve the best results:

  • Review automatically assigned Image Roles and adjust them where necessary.
  • Assign Image Roles that accurately describe how an image should be used.
  • Continue using clear, descriptive image names, as image names also help the AI identify the most appropriate content.
  • Use meaningful names for people and branded assets. For example:
    • Recommended: "Tim - CEO"
    • Not recommended: "Human"
  • Keep Image Roles consistent between your Image Library and your Slide Layouts.

Limitations

Image Roles currently apply only to images stored in the Templafy Library.

Images sourced from external repositories, including Microsoft SharePoint and Digital Asset Management (DAM) integrations, do not currently support Image Roles and will not use them during presentation generation.
