Key Features
Columns
| Field | Definition | Value |
|---|---|---|
| Search term | The exact word or phrase a user typed into the search bar. | Helps reveal demand and popular topics your users are actively seeking. |
| Search location | The module or area of Templafy where the search took place (e.g., Library, Slides, Text Elements). | Useful for understanding context - what users are expecting to find in each location. |
| Max search results | The number of results that were available to the user at the time of the search. | A low number may indicate content gaps or overly narrow tagging. |
| Times searched | The number of times this term was entered over the reporting period. | High volume indicates high interest or frequent need - important for prioritization. |
| Successful search % | The percentage of searches that resulted in at least one result being inserted. | A low percentage suggests users are struggling to find relevant or useful results. |
Filters
Use filters to help narrow down the data and uncover more actionable insights.
| Filter | Definition | Example |
|---|---|---|
| Application | Where the content is utilized by end-users. | Users searching for "cover page" in Word might need document templates, while in PowerPoint, they may be looking for slide masters. |
| Content location | Select specific spaces, libraries, or folders. | Filter by a specific asset folder to evaluate if tags or categorization within that folder need improvement. |
| Time periods | Choose specific date ranges. | After uploading a new slide library, compare search success rates before and after the update. |
| Country | Where the asset is utilized. | Users in Germany searching for "invoice" may need localized templates with legal requirements built in. |
| Department | Department in which the asset is utilized. | If the Sales department frequently searches for "pricing table" with low success, consider adding or improving those assets for their space. |
Best Practices for Using the Search Activity Page
- Identify High-Volume Searches - sort by Times searched to highlight what users are looking for most frequently.
- Spot Problem Areas - look for low Max search results and low Successful search %. These metrics would indicate content gaps or findability issues.
- Understand Context with Search Location - know where users searched - e.g., Text Elements, Slides, or Assets - to match your content strategy accordingly.
- Improve Metadata and Tags - check if poor-performing searches are due to missing or inconsistent metadata, titles, or tags.
- Take Action - add, update, or reorganize content to make it easier to find.
Example Use Case
- Search term: "Pitch deck intro".
- Search location: Slides.
- Max search results: 1.
- Times searched: 86.
- Successful search %: 9%.
- Department: Sales.
- Country: UK.
- Application: PowerPoint.
Review: There is high demand for introductory slides for pitch decks, but the current content is insufficient and underperforming.
Action: Create a new, well-tagged introduction slide and promote it within the Sales space.
