How to filter folders in Libraries

This article guides you through the various filtering options on folders in Libraries.

If no filters are set on the folder, it will be accessible to all users.

How to set up a security filter and restrict access

Restricting access is a security filter that will allow you to limit access to a folder to specific users and/or user groups. 

  1. Select the desired folder.
  2. Go in the Settings tab.
  3. Click on Edit next to 'Restrict Access (Security)'.
  4. Select the desired Users and User groups.
  5. Click Add to selected.
  6. Click Save.

  Important

You must set up User groups in the User groups section before they can be used in the Security filtering.

How to set up a target audience filter

Target audience is a convenience filter that will allow you to limit access to a folder based on user profile information. 

  1. Select the desired folder.
  2. Go in the Settings tab.
  3. Click on Edit next to 'Target Audience'.
  4. Add the desired Filters and Conditions.
  5. Click Save.

  Note

In the above example, the folder will only be visible to the users that have chosen either "Canada" or "USA" as a Country in their user profile.

How to set up an App Connector filter

With an App Connector filter, you create a filter on a folder, and only if a user starts the creation of a document from that App Integration (App Connectors) that folder is visible, otherwise it's hidden.
That means that an App Connector filter is used for when a user should be able to create a document from an external integration, and not from Templafy. By setting up an App Connector filter, you allow that the user has rights to use the document in question, without making it visible to the user.
An App Connector filter is set up using conditions based on data that are pulled from the external integration system it's connecting to. 

  Important

  • An App Connector filter only works on folders, not individual documents.
  • You need configuration access to the integration system to be able to define the App Connector filter in Templafy Admin Center.
  • You can only set up filtering that refers to values that have been configured on the external integration system.

To set up an App Connector filter, follow below steps:

  1. Select the desired folder.
  2. Go in the Settings tab.
  3. Click on Edit next to set up an 'App Connector filter'.
  4. Add the desired Filter and Conditions.
  5. Click Save.
