How to use the Templafy App for Microsoft 365 in Teams, Copilot Chat & Copilot Cowork

This article explains how to install and deploy the Templafy app for Microsoft 365, which connects Microsoft Teams, Microsoft 365 Copilot Chat, and Microsoft Copilot Cowork to your organization's Templafy templates, brand assets, and Document Agents. It covers installation from the Microsoft Marketplace, central deployment by an administrator from the Microsoft 365 admin center, and self-installation by end users.

  Prerequisites

All experiences

  • An active Templafy account for each end user, in the same Templafy organization.
  • Outbound HTTPS access to https://*.templafy.com/** must be allowed, including the Templafy MCP endpoint https://mcp.templafy.com/.
  • For central deployment: Microsoft 365 admin center access as a tenant administrator, or the AI Administrator role (called the Copilot administrator role in some Microsoft documentation).

Microsoft Teams

Microsoft 365 Copilot Chat

  • A Templafy tenant with the Templafy MCP server module enabled.
  • At least one published Templafy Document Agent and at least one theme configured in your Templafy tenant. If none are configured, the Templafy agent will report this and stop.
  • No Copilot add-on license is required. The Templafy agent is available to users who have Microsoft 365 Copilot Chat through an eligible Microsoft 365 subscription, at no additional cost — it uses no shared tenant data (such as SharePoint or Copilot connectors), so metered pay-as-you-go billing does not apply. A Microsoft 365 Copilot license also covers it.

Microsoft Copilot Cowork

  • A Templafy tenant with the Templafy MCP server module enabled.
  • At least one published Templafy Document Agent and at least one theme configured in your Templafy tenant. If none are configured, the Templafy agent will report this and stop.
  • A Microsoft 365 Copilot license assigned to the user.

  Important

This version of the app no longer includes the legacy Templafy message extension (the search and create commands in the Teams message box). Use the Templafy tab in Teams, or the Templafy agent in Copilot, instead.

About the Templafy app for Microsoft 365

Templafy ships a single Microsoft 365 app package (Microsoft Marketplace listing) that lights up in three Microsoft 365 surfaces:

Microsoft Teams The Templafy tab, which can be added to teams and group chats, giving access to approved company content — templates and digital assets — filtered by user access.
Microsoft 365 Copilot Chat The Templafy agent in Copilot Chat, for creating on-brand PowerPoint presentations in conversation, powered by your Templafy Document Agents and themes.
Microsoft Copilot Cowork The Templafy plugin, which connects Cowork to Templafy Document Agents through the Templafy MCP server (https://mcp.templafy.com/) to generate business-ready, branded PPTX presentations.

Because it is one app package, a single installation covers all three experiences. Which surfaces are active for a user depends on their Microsoft licenses and your tenant's Copilot configuration.

Option 1: Deploy centrally from the Microsoft 365 admin center (recommended)

Central deployment makes Templafy available to your users automatically — they do not need to find or install anything themselves.

  1. Sign in to the Microsoft 365 admin center as a tenant administrator or AI Administrator.
  2. In the left navigation, select Agents > All agents, and make sure Registry is selected.
  3. Search for Templafy. Select the entry published by Templafy (Publisher type: Third party).
    Note: A status of Not available means the app is listed in the catalog but not yet installed in your tenant. This is expected before deployment.
  4. In the details pane, immediately under the app's name, select Install.
  5. In the Deploy agent to selected users pane, choose who the app is installed for — All users or Specific users/groups — and select Next.
  6. In the Review permissions pane, review the requested permissions and select Grant admin consent. In the Permissions requested window, select Accept, then select Next.
  7. In the Review & finish pane, select Finish deployment.

After deployment, the status changes to Available, and the app is automatically acquired for the target users:

  • The Templafy app appears in Teams, where users can add the Templafy tab to their teams and group chats.
  • The Templafy agent appears in Copilot Chat.
  • The Templafy plugin appears in Cowork under the user's Added Plugins, labeled Managed by your organization. Users can enable or disable it per conversation from the Sources & Skills panel, but cannot remove an admin-deployed plugin.

  Note

The Cowork plugin can also be managed under Agents > Tools in the Microsoft 365 admin center. Both views manage the same app; use the Users tab there to adjust availability to all users or specific groups at any time.

Option 2: Install from the Microsoft Marketplace

  1. Open the Templafy listing on the Microsoft Marketplace.
  2. Select Get it now and sign in with your Microsoft work account.
  3. Follow the prompts. Administrators are guided to the Microsoft 365 admin center deployment flow described in Option 1; end users are guided to add the app for themselves (if your organization's app policies allow self-service installation).

Option 3: End users install Templafy themselves

If your administrator has not centrally deployed Templafy, and your organization's app policies allow it, end users can add the app on their own:

  • In Teams: go to Apps, search for Templafy, select Add, and add the Templafy tab to a team or group chat. See also: How to configure the Templafy app in Microsoft Teams.
  • In Copilot Chat: open Microsoft 365 Copilot, select Agents > Get agents (or All agents), search for Templafy, and add it.
  • In Copilot Cowork: open the plugin catalog, search for Templafy, and acquire the plugin. Self-acquired plugins can be removed by the user at any time.

  Important

If the Templafy app does not appear in the store or catalog, your administrator may have blocked it, or restricted which agent types users can install. Ask your IT administrator to allow the app under Agents in the Microsoft 365 admin center.

First use and sign-in

The first time a user interacts with Templafy in Copilot Chat or Cowork, they are prompted to sign in:

  1. Select Sign in to Templafy when prompted.
  2. Enter your email address. Authentication is delegated to your organization's configured identity provider; if seamless sign-in is supported and you are already signed in, no further prompts appear.
  3. Approve the requested access. Access is limited to two scopes — reading your Templafy library (library.read) and generating documents (library.generate) — and tokens refresh automatically. Your Templafy credentials are never shared with Microsoft; Copilot only receives OAuth tokens.

In Teams, the Templafy tab signs you in with your Microsoft work account (single sign-on) and connects it to your Templafy account; depending on your organization's setup you may be asked to sign in to Templafy once.

Once signed in:

  • In Teams, open the Templafy tab to browse approved company content and create documents from your organization's templates. See: How to use Microsoft Teams integration.
  • In Copilot Chat, select the Templafy agent (or @-mention Templafy) and ask for the presentation you need. See: How to use Templafy with Copilot in Microsoft Teams.
  • In Cowork, ask for a presentation in natural language. Templafy discovers the right Document Agent, offers your company-approved themes, collects requirements in a short conversation, and generates a branded PPTX built from approved templates and brand assets.

  Note

  • Before a presentation session starts and before generation begins, Copilot asks you to confirm the action.
  • The Templafy agent creates PowerPoint presentations only; it does not produce Word documents or spreadsheets.

Managing availability, blocking, and removal (administrators)

  • Scope availability: in the Microsoft 365 admin center, open the Templafy entry under Agents > All agents or Agents > Tools, go to the Users tab, and choose Available to all users or Available to specific users or groups.
  • Block: selecting Block prevents all users in the tenant from accessing the app. The catalog entry remains visible to administrators; this is expected behavior for store-published apps.
  • Uninstall: for an installed app, open its details pane and select Uninstall immediately under the app's name, then confirm with Remove agent > Uninstall Agent. If the Uninstall option is not shown, the app is not installed in your tenant.
