This article describes how to manage existing Slide Layout collections by adding, removing, deactivating, reactivating, and replacing layouts. Administrators can now maintain Slide Layout collections without recreating them from scratch. Individual layouts can be added, replaced, deactivated, reactivated, or permanently removed, making it significantly easier to keep collections up to date while minimizing maintenance effort.
Prerequisites
|
NoteThis article assumes you are already familiar with Slide Layouts and Slide Collections. For an introduction to these concepts, refer to the Slides as Layouts article. |
Accessing Slide Layout Collections
- Open AI Agents.
- Navigate to Slide Layouts.
- Open the Slide Layout collection you want to edit.
From here, you can add, deactivate, reactivate, delete, or replace layouts within the collection.
Add Slide Layouts
You can add one or more new layouts to an existing Slide Layout collection.
To add layouts:
- Open the Slide Layout collection.
- Click Add Slides.
- Upload a PowerPoint (.pptx) file.
- All slides contained within the uploaded presentation are added to the existing collection.
Once processing is complete, the newly added layouts become available for use by the Document Agent.
Deactivate and Delete Slide Layouts
Layouts can first be deactivated, preventing the Document Agent from using them while keeping them available for future use.
To deactivate layouts:
- Select one or more layouts.
- Click Deactivate.
- The selected layouts are moved to the Deactivated tab.
Deactivated layouts are no longer used when generating presentations.
If you no longer require the layouts, they can be permanently removed.
To permanently delete layouts:
- Open the Deactivated tab.
- Select one or more layouts.
- Click Delete.
Deleted layouts are permanently removed from the Slide Layout collection.
If a layout was deactivated by mistake, select Reactivate to move it back into the active collection, making it available to the Document Agent again.
Replace Slide Layouts
Layouts can be replaced individually, in groups, or as an entire Slide Layout collection.
Replace a single layout
- Select the layout you want to replace.
- Click Replace.
- Upload a PowerPoint (.pptx) file containing only the replacement slide.
Replace an entire Slide Layout collection
- Open the Slide Layout collection.
- Without selecting any layouts, click Replace.
- Upload a PowerPoint (.pptx) file containing the complete replacement collection.
When replacing individual or multiple layouts, only the selected layouts are replaced. All other layouts in the collection remain unchanged.

Entire Layout Replacement:
Important behavior
Keep the following in mind when managing Slide Layout collections:
- Newly added layouts become available to the Document Agent after processing.
- Replaced layouts are used by the Document Agent in future generated presentations.
- Deactivated layouts are excluded from presentation generation until they are reactivated.
- Layouts that are not selected during a replace operation remain unchanged.
- Replacing layouts currently requires the associated Layout Guide and Content Guide to be configured again.
Limitations
At this time, replacing layouts requires administrators to reconfigure the associated Layout Guide and Content Guide before the layouts can be used as intended. Furthermore, you cannot replace multiple layouts, its either a single slide or the entire collection.
