This article describes how Email Signature Notifications are sent to end-users with invalid User Profiles.

Overview
Email Signature Notifications are meant to ensure that users on the tenant have a valid User Profile, so their email signature can be applied as expected. When the setting Email notifications to users is enabled, Templafy will automatically send email notifications to users when their User Profile becomes invalid. A user profile will be seen as invalid if at least one required field isn't filled in.

How to Trigger a Notification
The Activity log contains information for when both manual and automatic notifications were sent.
Manual
Templafy Admins can manually trigger an email notification to be sent to users with invalid User Profiles. In your Templafy tenant, navigate to: Email signatures --> Analytics --> Set up reminder
ImportantAfter Admins/Owners press Send reminder now, it may take up to 3 hours for the email to be received by end-users. To confirm and verify when the email was sent out, check the Activity log. |
Automatic
During an email signature synchronization job, if the default User Profile goes from valid to invalid (at least one required field isn't filled in), Templafy will send an email notification to the impacted users if the Email notifications to users setting is enabled.

How to Toggle the Automatic Notification Setting
- Go to the Admin Center of your Templafy tenant
- Navigate to the Email signature section
- Click on the More Options ellipsis menu in the top right corner
- Click on Settings
- In the General tab, under Email notification to users, use the checkbox next to Allow Templafy to send automatic email notifications to users when their profiles require an update
- Click Save
