How to Preview Email Signatures

This article explains how to preview email signatures in the Admin Center.

How to Preview Signatures

When selecting an email signature part, the simple preview will be displayed in the side pane. Additional preview options can be accessed by clicking on Edit template or Edit HTML.

Code, Simple, and Full Previews

While editing your signature you have the possibility to get a real-time preview of the HTML code via "Code", "Simple", and "Full" Preview.

Code Preview

Shows the immediate output from entering the HTML code in the editor. By using the code preview, any obvious errors can be detected if the code is not entered correctly. The preview is essentially a "front-end" version of your HTML code. The code preview gives an overview of the dynamic text elements based on the HTML code.

  Note

Code Preview is only available when editing the HTML.

Simple Preview

Allows you to see how the signature looks with information coming from a user profile. This means the simple preview will display the signature as it would be displayed in Outlook, Office365, etc. However, this will exclude tag lines, campaigns, and disclaimers.

  Note

The simple preview is also displayed in the side pane when clicking on a specific email signature component. The preview can be expanded using the button in the bottom right corner.

Full Preview

Shows the entire preview of the signature including any campaigns or disclaimers as well as the main signature. It will highlight the parts that are not included in the main signature for the first few seconds after this view is selected.

  Note

  • The full preview will only render other parts that are active. (e.g., an inactive disclaimer will not be displayed when accessing the full preview of a campaign)
  • An active main signature is mandatory to preview the full signature, otherwise the admin will be presented with an error message.
  • Different email clients may render signatures differently from each other.

How to Preview Signatures of Another User

Viewing Signature Parts

A Signature part preview window can be opened by expanding the simple preview displayed in the side pane.

From this window, a tenant Admin/Owner can preview the signature of another user using the search bar in the top left corner. Search can be performed based on first namelast nameemail, or domain.

  Note

Any signature part can be previewed on behalf of another user, regardless of the user's access to that signature part.

Viewing Full Signature

Within the Email signatures module of the Admin Center, the Preview tab allows a tenant Admin/Owner to view all of the active signatures for a given user (internal/external/new/reply). Search can be performed based on first namelast nameemail, or domain.

In the full signature preview, a tenant Admin/Owner can also see errors associated with signature generation:

  • Invalid user profile errors: certain profile fields (e.g., title, contact information) are missing or incorrectly formatted. The system will point out the specific fields that need to be filled in or corrected.
  • No signature assigned errors: an end-user hasn't been assigned an email signature.
  • Binding/syntax errors: dynamic syntax or HTML in the signature is incorrect.
